Cancellation:
You can have the right to cancel and withdraw from your delegate or dinner booking within 2 weeks of your reservation. No reason is necessary for the withdrawal, which must be given in writing (an e-mail will suffice). The RSGB may though at its own discretion accept cancellation of your booking at any time up to four weeks before the event (this may be subject to a small handling fee – details on request). Bookings cancelled within four weeks of the event are unfortunately not refundable. The RSGB reserves the right to refuse or cancel bookings at its own discretion. In the unlikely event this occurs a full refund will be given. Please note that any charges relating to credit cards that have already been processed are unfortunately not refundable (see below).

Event Cancellation:
In the unlikely event that the event is cancelled, the RSGB will make a full refund of monies paid less any credit-card commission charged. The RSGB will however not accept any liability for any consequential losses incurred by its clients as a result of any cancellation. The RSGB encourages delegates to take advantage of suitable travel insurance to cover this and other potential issues surrounding the event.

Stripe:
The RSGB booking site uses the Stripe payment system for the ease and security of its customers. These payments are taken immediately.

Kents Hill:
Room bookings are dealt with by the venue itself and are subject to different terms & conditions.  The RSGB is not responsible for any booking made direct with Kents Hill or any element of their offering.

Special Requirements:
If you have any special requirements or needs regarding your booking you must contact us detailing these. Failure to do so may result in us being unable to accommodate your booking and cancellation with a 100% loss of any monies paid by you. All special requests (disabled access, vegetarian meals, etc) are met sympathetically but we cannot guarantee that they can be accommodated or be held liable if they are not supplied.

Privacy:
The RSGB are committed to safeguarding your privacy. We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

We may collect the following information:

  • Name and address, callsign if applicable
  • Contact information including email address and telephone number
  • Website usage data
  • Demographic information such as postcode, preferences and interests
  • Credit card and other e-payment details

The data gathered by this site is used to:

  • Take and fulfill customer orders
  • Provide additional information and messages about the event
  • Internal record keeping and legal obligations
  • Administer and enhance the site and service
  • Disclose information to third-parties for order fulfillment

The RSGB holds this data for the specified usage only and does not use the data for any other purpose than that it was supplied for. The RSGB does not sell this database to any third parties and does not solicit orders from data held on this site.
